Administrative Aide Jobs Vacancy in City Eugene Eugene Jobs Details:

This position provides functional support to three different areas within the City's Information Services Department.

General duties include answering customer calls and emails as directed, stocking supplies, loading toner and paper into digital copier/printer, cutting, folding, collating, and other post production bindery. Duties also include breaking down cardboard boxes, recycling, and other general maintenance of the work area.

Job Type: .5 FTE (Project hours are 1:00-5:00 PM, 20 hours per week. Must be available to work occasional additional hours as coverage requires.)

Examples of Duties Performed - Duties may include but are not limited to the following The primary role for this position will be assisting the Printing Coordinator in the City's small but robust print shop. Duties include stocking paper, toner, and other supplies, changing toner cartridges and loading paper in the shop's high speed digital color printer, removing print jobs from the machine, cutting jobs down to specified sizes using a commercial paper cutter. Folding, stapling, collating, and other types of post-production bindery. Answering customer phone calls and emails providing order status utilizing the shop's web based ordering system. The person in this position will help keep the print room clean by wiping down counters and equipment, emptying recycling and trash, and sweeping the floor. Other duties include using a city vehicle (requires valid Oregon driver's license) to make pick-ups and deliveries from customers and vendors.

The secondary role will be assisting the City's computer purchasing program coordinator with incoming order freight by removing and disposing of or recycling packaging materials. This includes activities like breaking down cardboard boxes and recycling Styrofoam. The person in this job will also help with adding or removing asset tags from equipment while recording the asset information into an asset tracking system. This position will provide general help with the recycling of computer hardware and other related technology assets.

The third area will be providing back-up support for the IT department's Administrative Specialist. Duties in this role include answering the phone or greeting visitors at the door and providing directions or information as necessary.

Qualifications SKILLS IN:

The person in this position should be friendly and outgoing and have strong customer skills. Excellent communication skills are desired with the ability to multi-task and prioritize work activities with minimal supervision. Ability to answer phones and email and to provide in-person direction or information as needed.

KNOWLEDGE OF (requirements at entry level):

Basic understanding of computers, email, and web browser. Customer skills. Phone skills.

TRAINING AND EXPERIENCE (positions in this class typically require):

High school diploma or G.E.D. equivalent, supplemented by either one year clerical training or basic clerical experience.

License and Certificates: Valid Oregon driver's license, or ability to obtain by date of hire; must pass driving records check and, if hired, maintain a driving record that meets the City's standard. Oregon law requires that an out-of-state license holder must obtain a valid Oregon license (with appropriate endorsements) within 30 days of becoming domiciled in the state (ORS 803.355).
