Job Summary

This position is critical for client care and success of the company. Ability to multitask is necessary as the office manager must greet and sign in each client, collect fees, fill in detailed paperwork, schedule appointments, and answer general questions simultaneously. Excellent people, phone, and computer skills are necessary. Strong organizational skills and medical billing experience is necessary. Ability to keep the front office clean, organized, and pleasant for clients and clinicians is required.

Responsibilities and Duties

This position requires prompt arrival 7:30am Monday through Friday to open the office and prepare for each day's clients. Listening to any voice messages, reviewing emails, and getting any key information to clinicians prior to the first client is essential (cancellations, messages, etc.). Enter and review all prior day's charges in Quickbooks. Answering and returning all phone calls and emails at the same time tending to the scheduling of clients, collection of payment, and keeping accurate records requires good attention to detail. Sorting and distributing the mail is a daily routine. As we are a small office duties are many and varied, with opportunities to learn and advance.

Qualifications and Skills

Having an AA degree is required; having a BA or BS is appreciated. Medical billing certification and experience is important. Good social skills are required in the front office, as are good phone, strong keyboarding skills (50 words/min.) and proficiency with Microsoft Office and Windows10 OS is required. Experience with Quickbooks is appreciated, but can be gained through the job for the right applicant with other related skills. Previous experience in the front office or other "service" position is required.
