Under direction of Assistant General Counsel, performs non-routine administrative tasks by acting as liaison for BWC's Legal Division Assistant General Counsel (AGC): responds to internal & external inquiries by independently formulating decisions &/or judgments involving non-legal interpretations of policies & procedures (e.g. complaints from employers &/or employees regarding workers' compensation matters); communicates interpretations of directives & decisions of ACG & Legal Counsel (LC), verbally & in writing; authors messages & memoranda on behalf of AGC; represents AGC at meetings & events as requested (e.g. conferences with other agencies, interdivisional task forces, committees); independently composes reports on monthly & weekly status of activity in the Legal Division; monitors spending within legal operations & maintains fiscal records (e.g. aids in preparation of annual BWC Legal Division budget, prepares & processes purchase requisitions); analyzes information for backlogs, inaccuracies & comparison of production, communicates findings to AGC & LC, & provides recommendations &/or solutions; works on special assignments & projects (e.g. legal opinions, research repository); performs personnel functions (e.g. participates in employment interview panels, consults with Labor Relations as appropriate); maintains Legal Q&A & Ethics 4 BWC mailboxes (e.g. assigns questions to attorneys, monitors assignments, tracks responses from attorneys, prepares detailed reports on questions & answers provided by attorneys); assists AGC in routine legal research & reports findings. Performs secretarial tasks: maintains & monitors Law Library subscriptions, books & publications (e.g. orders materials, keeps inventory lists, checks books in & out of library); organizes Law Library (e.g. arranges law books, places proper update inserts into books); prepares confidential correspondence & reports (e.g. documents pertaining to personnel matters, discipline, evaluations, hearing attendance, correspondence to General Counsel, Chief Ethics Officer & Administrative Staff); manages schedules for AGC (e.g. e-mails appointment attendees, arranges for conference rooms, schedules appointments); tracks assignments (e.g. incoming assignments for AGC & LC, assignments given to staff attorneys & support staff by the AGC & LC, assignments based on attorney subject area assignments); provides reports & updates on status of assignments); manages Legal/Policy meetings (e.g. organizes agendas, tracks assignments, takes meeting notes); tracks policies requiring review by AGC &/or LC (e.g. persons assigned to reviews, deadlines); establishes filing systems & keeps files current by inter-filing & purging documents as necessary; maintains confidential files; prepares letters & memos on behalf of AGC; tracks security breach letters; assists with gathering information for records requests; answers & directs sensitive telephone calls for the AGC; makes travel arrangements; prepares payroll &/or timesheets; prepares routine forms; keeps abreast of record retention policy & procedures; acts as back-up for the Chief Legal Officer & Chief Ethics Officer's Administrative Assistant as requested. Performs related & clerical tasks (e.g. receives, opens, logs & distributes incoming mail): greets & directs visitors; maintains inventory of general office supplies; maintains non-confidential files & retrieves information; orders supplies through Office Services & Fiscal departments.
Unless required by legislation or union contract, starting salary will be set at the lowest rate of the salary range. In most cases successful employees will move up a step in the salary range within six months, with subsequent step increases occurring every year as supported by successful performance evaluation results.
Completion of associate core coursework in secretarial science or business office applications from accredited career school or community college;
AND 12 mos. exp. in secretarial/administrative professional field.
30 mos. exp. or 30 mos. trg. in secretarial/administrative professional field.
12 mos. exp. as Administrative Professional 2,16872.
Or equivalent of Minimum Class Qualifications For Employment noted above.

Position requires travel; therefore, persons occupying this position must be able to provide own transportation &/or legally operate a state-owned vehicle.
EDUCATIONAL TRANSCRIPT REQUIREMENT:
BWC requires an official transcript for any applicant claiming to meet the minimum qualifications based on educational achievement. A transcript is only considered "official" if it is verifiable through the educational institution that awarded it (e.g., contains institution watermark, ink stamp, embossed stamp, registrar contact information). If provided from an on-line transcript clearinghouse the transcript must contain clearinghouse contact information so that it can be verified. Printouts of course information available to the student through the institution's website are NOT considered an official transcript. In order for education to be taken into consideration during the application screening process, BWC employees must have an official transcript on file with the Personnel & Benefits department by the deadline date on the job posting.
