Action Property Management, a premier management company, is seeking a Full Time, Administrative Assistant to support our Luxury High-Rise Association, The Infinity located in San Francisco, CA.
Job Summary: Under the direction of the Assistant General Manager, the Administrative Assistant is responsible for providing daily administrative, technical and customer service support to the Homeowners Association. The Administrative Assistant is expected to be a team player and contribute overall to the Association in helping promote an enjoyable, productive and safe work environment.
Position Type: Full Time, 40 hrs per week
Schedule: Tuesday through Friday 10am to 6:30pm and Saturdays 9am to 5:30pm
Essential Duties and Responsibilities: Support the Assistant General Manager with the Administrative Management of the Homeowners Association. Assist Operations Manager as needed Assist the Assistant General Manager with maintaining daily activity calendar of events such as meeting notices, weekly news updates, elevator announcements, front desk flyers, and resident hearings notices Responsible for composing, transcribing, and typing letters, memos, reports, and spreadsheets as directed by management. Filing, purging invoices, documents, files etc. Act as emergency back-up staff member as needed Assist concierges with resident amenity reservations and rentals. Handle all FOB and Transponder set up, renew, and expire Provide Moving Procedures to homeowners Possess working knowledge of the Association's Governing Documents, CC&R's and the rules and regulations of the association Be familiar with all evacuations and emergency procedures
Qualifications: Strong Verbal and Written Communication Minimum typing speed of 60 wpm Minimum 2 years office experience Proficiency in MS Office; Word, Excel, PowerPoint. Publisher is a PLUS! Availability to work overtime as needed Professional manner and appearance Self starter with excellent organizational skills, ability to prioritize, and execute
Education: HS School Diploma or Equivalent. College Degree is preferred! Previous administrative experience in HOA/ Hospitality is highly desired!
