Receptionist Secretary Jobs Vacancy in White Oakes Llc Raleigh Jobs Details:

JOB FUNCTION: To provide a secretarial service to all senior staff and act as Receptionist at the Authority’s offices.

MAIN DUTIES:

Prioritising workload.

Typing/word processing including letters, reports, minutes, agendas, etc, by copy or audio. Operating main switchboard, answering and relaying calls/messages and making appointments. Dealing with public, visitors and yachtsmen at reception, receipting invoices/harbour dues. Preparation of agendas for Finance and Monthly Board meetings.

Document preparation including photocopying and binding. Maintaining filing and archive system for all business records.

Dealing with incoming and outgoing mail timeously.

Maintaining mailing lists for mailshots - e.g. invitations, calendars, events.

Arranging travel and accommodation for business trips.

Maintaining stock of stationery and ordering supplies timeously.

Providing refreshments for meetings.

Undertaking any other tasks as may be required to meet the needs of the business.

SUPERVISING: No direct supervisory role.

RESPONSIBILITIES:

Ensuring the security of office premises, documentation, computer records.

Compliance with the Authority's Policy Statement.

Observe and/or assist with carrying out Risk Assessments before commencing work.

TRAINING: Suitable training shall be provided as required.

REQUIREMENTS:

Essential Friendly, polite and professional manner.

Positive attitude and adaptable to change.

Good written, oral and communication skills.

Strong organisational, time management and prioritising skills.

Ability to build and maintain good working relations with team members.

Excellent PC skills and a sound working knowledge of Microsoft Office applications including Word, Excel, Access, Publisher, PowerPoint and Outlook.

Desirable

Previous secretarial or reception experience.

Any Award in secretarial skills or business administration.

Job Type: Full-time

Salary: $15.00 /hour
