Job Description:Summary:
The Development Coordinator manages development data from the Raiser's Edge donor database, acquisition lists and other SF SPCA client databases. This results-oriented position will coordinate data for the San Francisco SPCA’s online and direct mail outreach efforts with best practices for acquisition, solicitation, gift entry, acknowledgments, and reporting. This position identifies optimal populations, channels and strategies for segmented engagement. Experience with managing data for direct mail, e-mail, social media, and other platforms (both internal and third-party) will be critical for reaching and mobilizing our supporters to take action and donate.

Essential Duties and Functions:
Gift Processing and Data Entry (35%)
Manage and troubleshoot donor database, including maintenance, user accounts, global changes, gift entry, reporting, queries, and data clean-up projects with the goal of consistently timely and accurate data
Supervise staff for timely gift processing and acknowledgments using the Raiser’s Edge database for personalized donor correspondence and receipts
Manage database clean-up projects. Regularly troubleshoot the database to identify zones of error, duplication and bad records including Deceased Record Finder and NCOA
Build customized reports for targeted mailings and to show trends, areas of growth, and specific donor groups including lists supplied by Target Analytics and Blackbaud NXT
Develop and deliver clear and accurate reporting and tracking vehicles and instructions for reports, dashboards and data extracts, as needed
Ensure all appeals efforts are tracked, reported upon, updated in Salesforce and then used to facilitate better outreach
Assure timely updates to donor information based on requests received by phone, fax, postal mail, email, or through the SFSPCA website

Online Giving Strategy and Implementation (30%)
Coordinate and implement a cutting-edge online giving strategy that promotes the San Francisco SPCA’s vision, invites high levels of supporter engagement, and encourages donations with special focus on clients using services in other departments and on building a recurring gift program
Manage mail and email lists of donors for direct mail and digital appeals
Gather and analyze departments’ constituent data to send segmented emails with rigorous A/B testing tools, tailor strategy and tactics based on this analysis

Administration (25%)
Supervise production of printed department materials, including letterhead, brochures, envelopes, and collateral
Provide coaching for the Development Assistant(s)
Attend and assist with special fundraising events and activities
Ensure documentation and dissemination of the department’s database and mail donation handling procedures and policies
Work closely with colleagues to ensure online and paper giving strategies are synchronized with the overall Development plan
Develop, deliver and provide instructions for clear, accurate and timely reports, dashboards and data extracts, as needed for weekly, monthly and quarterly gift, donor and progress reports

Administrative Support (10%)
Ensure compliance for monthly and annual closing of the books plus documentation necessary for financial audits and IRS regulations
Manage distribution of department’s incoming and outgoing mail
Assist with the preparation of reports, profiles, and pledge reminders
Assist and participate in special public and donor events
Maintain complete and accurate contributor files and records
Prepare information packets and materials for donors and other interested parties

Customer Service
Practice and encourage the humane treatment of animals
Provide quality customer service to donors, clients, volunteers, and staff while actively promoting our mission, services, programs and events

Ensure the effective use of volunteer resources and talents
Work cooperatively with all volunteers and recognize the talent and commitment they bring to the Society

Maintain a clean, healthy, and sanitary work area; follow all pest and rodent control protocols. Participate in keeping the SF SPCA campus clean and well maintained

Physical Requirements and Work Environment:
Work is performed in an office setting within an animal shelter and care facility
Regularly sits at a computer station, can enter transactions 7 hours per day
Typically stands, bends, stoops, and crouches while filing documents manually
Frequently lifts, carries and positions supplies and records weighing up to 30 lbs as Regularly moves about the campus to coordinate work
Occasional weekend and evening work
Consistently exposed to animals and animal allergens under conditions with limited alternatives available

Reporting Relationships and Contacts:
Reports to the Annual Campaign Manager

Required Experience:Education and Experience:
Bachelor’s Degree
Three years of full charge of Raiser’s Edge by Blackbaud database administration experience desired, experience with Salesforce database, basic HTML and CSS a plus
Ability to provide leadership and training on department use of Raiser’s Edge database
Excellent computer skills, including a high level of proficiency in Raiser’s Edge, Crystal Reporting, Microsoft Excel, Microsoft Word, Outlook and PowerPoint
High proficiency with MS Office, Outlook, Word, and especially Excel

Knowledge, Skills and Abilities:

Demonstration of proficient writing and verbal communication skills consistent with donor and public expectations.
Demonstrated organizational skills; prioritizing and managing multiple detailed tasks.

Ability to exercise complete discretion when dealing with confidential information
High standards of excellence and commitment to honesty and accuracy
