The purpose of the class is to coordinate complex administrative services within the assigned executive offices to include: Office of the Mayor, Office of the Chief Administrative Officer, Office of the City Clerk, and Departmental Directors. This class works independently with minimal supervision.Supervision: • Exercised: Classification typically supervises;• Received: Typically reports to the Appointing Authority or Designee;• Note: Other reporting relationships may apply.Example of Duties: This position is Unclassified and serves at the will of the Appointing Authority.Hiring Range: Up to $60,000 The City of Richmond is seeking an Executive Assistant III to join the Department of Emergency Communication's Department in building a better Richmond. This role will assist the Executive team for the Department of Emergency Communications.Duties include, but are not limited to: Interacting with internal staff, other departments, city executive team and external customers and agencies with tact, diplomacy and attitude of customer service; Organizing and coordinating the schedule of a busy executive including: prioritizing and accommodating conflicting appointments and having agendas and other materials available for the executive to be prepared for meetings; Assisting the department head and executive team in the management of the department by way of: passing on to the appropriate staff member requests and documents needed by the executive team and tracking and reminding appropriate staff of approaching critical deadlines for various meetings and mandatory document submittals; Maintaining confidentiality in all aspects of the position; Managing and tracking all various documents submitted to the director's office; which includes ensuring submitted critical documents are complete and accurate prior to submittal to the director, providing to the director for signature, tracking if supplemental signatures are needed and organizing and electronically filing for easy future reference; Organizing and following up on details on various special assignments and special events to ensure all aspects have been addressed or brought to the executives attention so that the department is reflected in a positive light; Collecting information, preparing, typing and proofreading various documents including correspondence, reports, expense vouchers, requisitions, payroll and personnel forms, budgets, and legal documents; distributes as directed; Establishing and maintaining extensive departmental files, records and policy manuals; Receiving and screening internal and external visitors and guests; receiving, screening and directing telephone calls to appropriate office, department, or individual; providing information to callers; Responding to citizen's request for information in accordance with Virginia Freedom of Information Act; Preparing, sorting, prioritizing, logging and distributing incoming and outgoing mail; maintaining specialized logs, mailing lists and tracking systems; Operating various office equipment; Making travel arrangements for staff; Maintaining the director's calendar, schedule appointments and meetings; Aligning calendars of multiple attendees from both inside and outside departments; Organizing meetings by notifying participants, making room arrangements, preparing agendas and required informational materials, attending meetings and preparing minutes; Planning and assisting with planning department special events; Disseminating duties as directed; Following up with team members ensuring project completion.Qualifications, Special Certifications and Licenses: Minimum Qualifications: Requires Bachelor's degree or education and training equivalent to four years of college education in office management, business administration, or public administration or a combination of experience and training equivalent to the Bachelor's Degree; Requires four years of experience; An equivalent combination of training and experience (as approved by the department) may be used to meet the minimum qualifications of the classification; Requires a Driver's License with a clear driving record in the past five years; No Special Certification or License required.
