Purpose
Serve as event manager for 15-20 high-profile, multi-day, multi-speaker professional education conferences per year. Duties include taking the lead role in coordinating logistics for these programs, hosted most commonly at hotel venues.
Essential Functions
Serve as event managers with individual responsibility for event logistics, including pre-event planning, briefings to supervisors, budget review, timely acquisition of speaker materials, on-site registration and AV coordination, on-site oversight of conference laptops used by speakers for slides and PowerPoint presentations, and post event close out, budget and marketing review. Demonstrate intellectual curiosity, excellent judgment, decision quality, project management, and customer care. Exhibit a drive for results in identifying and successfully managing the goals, requirements and challenges for each event, in each stage of the process and in the face of highly-varied venue conditions, time constraints, budget and marketing goals. Manage, prioritize, and juggle multiple events and deadlines. Develop comfortable, regular, and pro-active communication with directors, colleagues, venues and vendors, keep them informed of problems, and suggest solutions to keep events on track and on budget. Remain focused, productive, calm, and polite under pressure and recognize the critical role of teamwork and team-based solutions to the department. Demonstrate situational awareness of how your work product is used by others. Become knowledgeable, analytic and effective in all aspects and phases of professional education event management, including event requirements, budgets, contracts, tools and best practices, including use or technology. Work vigilantly to insure that you represent the University's best interests in all financial dealings with hotels, restaurants and vendors, and that you understand and are in full compliance with both university and departmental policies on conflicts gifts and gratuities. Become proficient in use of Department's data and event management tools, develop understanding of big-picture marketing and sales goals, suggest ways to improve sales and reduce expenses, improve business processes, show initiative and interest in learning new skills and accepting increasing levels of responsibility, e.g. hotel contracts.

Required qualifications
Bachelor's Degree and at least three years of experience in results oriented team-based, entrepreneurial work environment. Demonstration of the following competencies: integrity and ethics, learning on the fly, problem solving, intellectual horsepower and curiosity, customer focus, a drive for results, as well as excellent organization, planning, and project management skills, including functional competencies in educational conference management and marketing. Must be composed and professional under stress, with poise, confidence, and political savvy to effectively represent Law School at prestigious educational events-- comfortable working one-one-one with senior management, high-profile advisory boards, speakers and sponsors, customers and vendors. Excellent writing skills and the ability to communicate clearly, concisely and persuasively with senior management, both verbally and in writing. Excellent Microsoft Word skills, including mail merges, and a functional competency with Excel required.
Equivalent combination of relevant education and experience may be substituted as appropriate.
Preferred Qualifications
Demonstrated functional and technical competencies required to manage and execute a large portfolio of high-end professional education conferences for lawyers or related professionals. Familiarity with relevant MCLE credit reporting and other continuing professional education courses, both in Texas and nationally. Use of technology and social media to market and enhance customer experience at events, audio or video production. Knowledge of audio-visual equipment, including projectors, sound recorders, and microphones. Experience with video recording equipment and software a plus. Demonstrated ability for budgeting and financial analysis.

Office space is shared with Team. Lifting and moving boxes, up to 30 lbs. at event; some physical set-up of event space. Frequent 10-15 hour work days on conference dates. Out of town travel 2-4 nights in row and average of 8-10 times/yr.

The retirement plan for this position is Teacher Retirement
System of Texas ( TRS ), subject to the
position being at least 20 hours per week and at least
135 days in length.
