Intellectual Property Legal Support Administrator Jobs Vacancy in National Renewable Energy Laboratory Golden Jobs Details:

This position supports the entire Intellectual Property (IP) legal group within the Office of General Counsel with complex administrative support functions primarily in the areas of patent docketing, database management, data entry, and correspondence/reporting related to IP activities. This position also serves as the contact for IP legal reviews and supports the IP legal group with general office tasks.

  • Maintains internal IP management database and creates all new electronic records related to inventions and patents.
  • Confirms data from electronic invention disclosure system is properly incorporated in IP management database.
  • Dockets and calendars all deadlines related to new and existing records, including deadlines for invention reporting and new patent application filings.
  • Modifies data in IP records as needed or requested.
  • Saves electronic copies of all relevant documents and correspondence in electronic document management system.
  • Conducts the timely docketing of all incoming patent actions related to the laboratory's domestic and foreign patent docket.
  • Reviews USPTO PAIR account and incoming patent inbox daily for new official correspondence from worldwide patent offices, domestic and foreign patent counsel, and third-party partners.
  • Verifies data from official correspondence against that in internal IP management database and determines/dockets/calendars required response deadlines.
  • Saves electronic copies of all relevant documents and correspondence in electronic document management system.
  • Reports all patent- and invention-related actions to the U.S. Department of Energy using the iEdison online reporting system.
  • Creates Invention Reports in iEdison, uploads all required invention documents ( e.g ., Records of Invention) and modifies records to document status changes.
  • Creates Patent Reports in iEdison, uploads all required patent documents ( e.g ., patent applications, drawings, confirmatory licenses, issued patents, etc.) and modifies records to document status changes.
  • Serves as the point of contact for all internal requests for IP legal review and maintains a log of all such requests.
  • Routes requests to the proper attorney for review and delivers executed agreements or other documents to the requester upon completion by IP counsel.
  • Saves all correspondence and documents related to IP reviews in electronic document management system.

Supports the Deputy General Counsel with administrative tasks such as scheduling, travel, expense reports and preparation of correspondence, memorandum, presentations, and other documents ( e.g ., copying and scanning agreements). Interfaces with other members of the laboratory on behalf of the Deputy General Counsel. Assists Deputy General Counsel with generating periodic reports on IP matters for laboratory management and with the planning and implementation of events and processes for the IP legal group.

Supports all members of the IP legal group with administrative tasks such as travel, expense reports, and maintenance of professional memberships and bar associations. Oversees day-to-day business needs for the IP legal group, including ordering of supplies, file room organization, creating check requests, payment of invoices for outside counsel, processing IP-related employee documents, and generating award letters for inventors.

Participates in IP reviews of publications proposed for dissemination by the laboratory, and assists with Copyright Transfer Agreements associated with the same.


Knowledge, Skills and Attributes

Associate’s or Bachelor's degree or higher degree from an accredited college or university. At least two (2) years of legal experience or equivalent experience with systems involving data entry, docketing, calendaring, reporting and maintaining electronic and physical files. Must be proficient with data entry, docketing of incoming correspondence; generating and distributing a daily/weekly docket; and other docket and file related activities. The successful candidate will be highly client-oriented and have excellent communication and interpersonal skills.

Must be meticulous, detail-oriented, and possess excellent organizational and time management skills, while being able to multi-task and to work independently, yet seek guidance when appropriate. Superlative data management and proofreading skills as well as the ability to take pride in work product and ownership of work responsibilities necessary.

Track record of proficiency with IP docketing systems, databases, document management software, or related systems. Ability to use various computer software programs in general and highly skilled with Microsoft Office products in particular. Working knowledge of laws, regulations, principles, procedures and practices related to U.S. and foreign IP.

Required Education, Experience, and Skills

High School Diploma or equivalent and 4 or more years of experience or equivalent relevant education/experience. Or, relevant Associate's Degree or certification program of comparable scope and 2 or more years of experience or equivalent relevant education/experience. Considerable knowledge of specialized focused business support functions. Complete understanding of the general and detailed aspects of the business support activities, and their practical applications to problems and situations ordinarily encountered. Experienced skills in applicable software packages and office equipment. Demonstrated project administration skills. Full knowledge of specific principles, procedures and practices related to supported fields and disciplines. Strong written and verbal communication skills, team and interpersonal skills.

Preferred Qualifications

Advanced experience with Microsoft Office products, ORACLE, electronic IP databases ( e.g ., Sophia, iEdison, IP Manager, etc.), document management systems ( e.g ., Worldox) and other business software ( e.g ., Concur, SharePoint, etc.) preferred. Ability to efficiently prioritize duties, multitask and complete assignments with strict deadlines, along with excellent problem-solving skills, attention to detail, organizational skills and ability to use discretionary judgment when dealing with confidential subjects and sensitive issues strongly favored.

Strong interpersonal skills such as excellent verbal and written communication skills are highly favored. Ability to work cooperatively (with a staff of attorneys, patent agents, paralegals and other support staff) in a fast-paced, dynamic team environment and communicate effectively with visitors, outside counsel, and NREL employees, including educating other NREL employees on IP-related processes. Ability to effectively collaborate with, form strong working relationships with, learn from, and communicate frequently and respectfully with all levels of NREL personnel.

Ability to share successes and teach or learn from others as necessary for the betterment of the team. Strong interest in the laboratory’s mission.
