Office Assistant Iii Community Enhancement Jobs Vacancy in City Abilene Jobs Details:

OPEN UNTIL FILLED

Under general direction, to perform advanced administrative and technical work in support of a division manager and assigned staff; to prepare routine and special reports, maps and documents; to instruct personnel on procedural changes; to maintain confidential files; and to make limited policy interpretations and decisions in accordance with departmental standards and procedures.

SUPERVISION EXERCISED

This position exercises no supervision.

Examples of Duties

Communicate effectively with staff and the public; provide information and assistance relating to general nuisance and condemnation program violation resolution, including, abatement and citation procedures, fees and requirements.

Receive, resolve, or refer citizen's complaints and requests.

Furnish general public and co-workers with information concerning a variety of documents and related division operations.

Provide administrative support to the division manager and serve as a liaison as assigned.

Review and draft answers to correspondence not requiring attention of the division manager.

Perform technical duties, filing, screening calls and visitors, and processing of mail.

Operate a variety of office equipment.

Prepare notices; assemble information and review documents to ensure completeness and accuracy of information submitted.

Maintain control files of matters in progress; expedite their completion.

Process payment vouchers and check requests, purchase requisitions/orders, and other pertinent paperwork.

Prepare various materials for use at Board of Building Standards and other meetings of elected and appointed officials.

Attend various meetings of boards, commissions or committees as directed; record and prepare drafts of minutes, orders and proclamations for review by division manager.

Assemble, organize, and tabulate statistical and budget data.

Prepare routine and special reports, maps and documents; maintain files of same.

Receive and account for public funds.

Arrange meetings and conferences; prepare travel arrangements, and attend to take notes; prepare related material.

Order and stock office supplies.

OTHER JOB RELATED DUTIES

Perform other job related duties and responsibilities as assigned.

Typical Qualifications Knowledge of:

Administrative secretarial practices and procedures.

Principles of office management.

Departmental policies, functions and procedures.

Office software including Microsoft Word. Excel, and PowerPoint.

MyGov and other GIS/Mapping software a plus.

Skill to:

Operate office equipment including computer equipment.

Use online resources including various search engines and mapping applications.

Ability to:

Perform responsible administrative secretarial work with accuracy, speed, and minimal supervision involving the use of independent judgment and personal initiative.

Develop and maintain accurate record keeping systems.

Communicate clearly and concisely, both orally and in writing.

Establish and maintain cooperative working relationships with those contacted in the course of work, both internally and externally.

Experience and Training Guidelines:

Any combination equivalent to experience and training to provide the required knowledge, skills, and abilities may be qualifying. Knowledge, skills, and abilities may be obtained through:

Experience:

Two (2) years of experience in administrative secretarial work of which six (6) months must have been under the supervision of a higher level manager.

Education/Training:

A high school diploma or a GED is required.

Some course work in secretarial science and/or business management is preferred.

License or Certificate:

A valid Texas driver's license is required.

Special Requirements:

Ability to work in a standard office environment.

Ability to lift and carry up to 50 pounds.
