Background on the Department
You will be the 2 nd hire to join a brand new program management office at Wayfair tasked with building and scaling Wayfair’s data science and machine learning program—a top priority at the company. This office will be ideating, developing, managing, and evaluating programs that will attract and retain top data scientists and machine learning engineers. This office works at the intersection of talent acquisition, community engagement and the business to identify sources of top talent, develop relationships with key influencers, and create programs that draw and train AI professionals .
As a rapidly growing e-commerce company, Wayfair depends on its Data Science team to solve some of the most challenging problems using the latest machine learning/AI-based techniques. The mission of the Data Science team is to unlock deep learning from data in order to help guide the business – everything from tactical optimizations to broad level strategic direction that is grounded in data evidence and heavy analytical rigor. This requires a multidisciplinary blend of statistics, technology, and business strategy, all applied in tandem to discover key insights that lie hidden in our data sets. Our responsibility is key to building the most important part of our data science strategy: the team.
Key Responsibilities of the Department
Develop the data science outreach strategy for building Wayfair’s brand as an employer of choice
Drive awareness and interest through conference participation, competitions, blog entries, meet-ups, speaking engagements, etc.
Build relationships with strategic meet-ups, industry groups and associations to foster strategic collaborations, research collaboration and knowledge sharing
Create boot camps and other programs to train potential data scientists
Work with Talent Acquisition to develop and execute on strategic sourcing and hiring plans to reach data science talent post-campus.
Coordinate efforts to build Wayfair’s thought leadership in data science and bring external speakers and industry thought leaders to Wayfair
Measure data science program successes and growth opportunities

Key Responsibilities of this Role:
Day-to-day administration and coordination of all areas of the data science program office
Collaborate with other members administrative teams across the Wayfair organization (largely data analytics, talent, and engineering)
Organize and host frequent Wayfair sponsored events on-site and offsite in Boston area
Research recruiting events, career fairs, and technical conferences
Participate in program office strategy – marketing collateral, special projects
Provide support to recruiting team in other capacities as needed
Act as point person for visiting executives and candidates
Proactively manage calendars with the ability to schedule and prioritize meetings, resolve schedule conflicts, and stay several steps ahead to maintain efficiency
Handle travel arrangements and make frequent revisions as needed
Schedule and coordinate numerous weekly and ad hoc meetings
Schedule interviews (phone, Skype, in-office)
Coordinate in-office “interview days” and other in-office events
Various other ad hoc requests
Candidate Qualifications
You are so organized that your friends think it’s scary – you know where everything is in your house and you love sorting your desk drawer by item. In this role, you will start off making sure all of the tactical activities of the office are executed with excellence. As you mature in the company, you will also pick up your own initiative(s) to own and drive independently.
You’ll use Microsoft Office, Google Drive, and our internal systems to accurately schedule and adjust meetings and events on an ongoing basis, track participants’ progress, and to communicate with participants and program stakeholders on a regular basis. You’ll also help with the planning process, tracking feedback for participants, and coordinating communication amongst members of the team. You will also conduct research on the talent market and make recommendations for what universities, professors, and specific students Wayfair should concentrate efforts on to form partnerships or to recruit as full-time employees. Many strategy and planning documents will need to be created in PowerPoint, and we will look to you to document and institutionalize the programs we are building. Many spreadsheets and lists will be generated and we’ll look to you to help us populate them and ensure they are accurate and all the details are in order.
