The Clerical Assistant position is in the collective bargaining unit represented by the National Association for Government Employees (NAGE) and you may be required to pay an agency service fee through direct payroll deductions.

This position is located with the Metropolitan Police Department, Internal Affairs Bureau, Court Liaison Division.
As a Clerical Assistant, the incumbent is responsible for the following:
Provides a high level of clerical and administrative support as it relates to the efficient functioning of the day-to day operations of the office.
Provides administrative assistance related to the commitments, information gathering needs, and information distribution requirements of the managers/supervisors.
Develops and/or assists in the development of new and revised office procedures and administrative support functions to achieve increased overall efficiency.
Answers incoming phone calls and greets visitors, taking messages as necessary; refers inquiries on the basis of knowledge of programs and operations of the office. Consolidates and prepares replies to incoming correspondence.
Prepares correspondence, e.g., memoranda, letters, and reports; tracks correspondence and ensures proper format, grammar, spelling, and appropriate supporting documentation. Composes replies to correspondence on own initiative from written notes.
Receives and logs incoming correspondence and forwards to the appropriate staff member(s), and after outgoing correspondence is signed or initiated, applies date and prepares for internal distribution or mail. Keeps abreast of the status of pending correspondence and keeps staff informed of upcoming deadlines.
Maintains records of acquisition requests and assists in requisitioning supplies and equipment, preparing forms, documents and researching and gathering information.
Maintains time and attendance reporting and ensures timely submission to Payroll.
Maintains manuals and automated filing systems. Keeps manual files up to date and purges when required. Gathers requested information from files.
Utilizes a personal computer and various types of office software or specific programs to type, store, and retrieve correspondence, documents and information.
Performs other related duties as assigned.
Knowledge of a variety of standardized rules, regulations, policies and operating procedures to independently manage required clerical office support assignments and to resolve minor internal office problems associated with the work.
Knowledge of various types of filing systems in order to maintain office files.
Knowledge of office automation equipment and software is needed to prepare, modify, and transmit documents, charts, reports, agendas, correspondence, etc.
Knowledge of English, grammar, punctuation, spelling, style and other required formats.
Ability to communicate both orally and in writing to provide, obtain, and clarify information and prepare written documentation or verbally explain work methods used.
Licensures, Certifications and other Requirements
Bachelor’s degree preferred
Must have one year of specialized experience that equipped the applicant with the particular knowledge, skills, and abilities to successfully perform the duties of the position. Must have completed at least one year of specialized experience equivalent to the GS-07 level in the District and/or federal service in a field that is related to the work of the position to be filled.
A majority of the work is conducted in the office, but some field work may be required.

A criminal background including criminal history and credit check are required for positions within the Metropolitan Police Department.
The Metropolitan Police Department is a 24-hour/7-days a week operation. Your position may be deemed an Essential Position, and you may be subject to working non-traditional work hours including rotating shifts, shift work, days-off, weekends and holidays.
