POSITION SUMMARY

The Hospitality Coordinator & Executive Assistant role is responsible for representing the bank, providing concierge-type service and event coordination of the Sunrise Banks’ Corporate Headquarters common areas and event space in addition to providing executive support to designated members of the executive team.

This position requires a candidate who has flexible hours during the work week, which may range from 7:00 a.m. on certain days, and as late as 7:00 p.m. on other days. However, the majority of work days are 8:00 - 4:30 Monday - Friday.


ESSENTIAL FUNCTIONS

  • Represent Sunrise Banks in a professional manner, often times providing presentation/overview of Bank mission and services
    • Oversee Bridge operations, with event/facility coordinating as a service to customers and community
      • Draft and revise rental event agreements, rental request forms, and guidelines.
      • Provide tours of event space and Bank building
      • Create system for post-event thank you notes and survey
      • Maintain and create/update Bridge space marketing materials
      • Assist Bank staff to coordinate internal (non-revenue) events
      • Oversee and regularly communicate master calendar of events
    • Maintain reference lists for area off-site events, dining, transportation and entertainment options
    • Coordinate and provide catering options for event food & beverage needs
    • Maintain electronic welcome & signage boards
    • Troubleshoot technical and AV needs
    • Work closely with Business Development team to identify target customers and community groups to utilize space
      • Determine value on event space as a sponsorship or donation
      • Act as a liaison to the surrounding neighborhood and community businesses
    • Coordinate general operations of bank workout facility
      • Oversee master calendar of events
      • Act as liaison between gym and facilities team to coordinate maintenance needs
      • Act as liaison to the Sunrise Banks’ Wellness Committee
    • Act in tandem with receptionist to coordinate general activities for reception desk (front desk operations knowledge)
      • Periodic – walk through of common areas to ensure cleanliness, function and organization (lobby, garage, grill calendar, etc.)
      • Back-up Badge Access
    • Act as liaison to building tenants. Coordinate/communicate event & training center activities.
    • Provide executive administrative support to the EVP, Director of Business Development + Business Development Team. Includes the following:
      • Coordinates calendars, schedules appointments and attends relevant meetings
      • Prepares business meeting minutes, reports and misc. correspondence
    • Perform required administrative, operational and other responsibilities as assigned.
    • Attend and participate in Community Development activities

EDUCATION & EXPERIENCE

  • Bachelor’s degree in marketing, communications, business or related field beneficial.
  • Strong attention to detail, a high level of organization, initiative and energy.
  • Excellent IT and administration skills.
  • Able to work on multiple projects simultaneously.
  • 12 months’ administrative experience and event planning or marketing experience.
  • Strong multi-tasker who can juggle multiple projects with calmness
  • High level of customer service focus and very self-motivated.
  • Excellent communication skills and oral & written English.
  • Ability to work some evenings and weekends, as needed.

    • While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; and talk or hear. The employee is occasionally required to stand and walk. The employee must occasionally lift and/or move up to 50 pounds.
