Job Description

Thriving small business looking for a high energy administrative assistant to work magic in the office. The position involves assisting both the office manager and dispatch managers in the daily activities of running a business. This is an excellent opportunity for a hardworking person with a big heart and vision who wants to join our company as we grow. There will be some Saturday work.

Qualifications & Experience

  • 2-3 years administrative assistant experience or an equivalent combination of education and other work experience
  • Proficiency in Quick Books and Microsoft software applications: Outlook, Word, Excel, PowerPoint
  • Superior organizational skills and accuracy with numbers and language
  • Strong interpersonal skills, needs to be able to work well with others
  • Excellent problem solving and people skills also required
  • Must have own car

Responsibilities

  • Assist with bookkeeping/accounting functions
  • Inventory and fuel tracking
  • Ability to multi-task and prioritize
  • Provide general administrative and clerical support including mailing, scanning, faxing and copying to management
  • Maintain electronic and hard copy filing system
  • Open, sort and distribute incoming correspondence
  • Perform data entry as needed, including invoicing customers and entering bills
  • Run company errands
  • Answer incoming calls with enthusiasm and excellence in customer service
  • Prepare and modify documents including correspondence, reports, drafts, memos and emails
  • Ability to make sound decisions and use own initiative
  • Assist in resolving any administrative challenges

Preferred Qualifications

  • Certified payroll processing
  • ODOT & DOT reporting
  • Experience with Quick Books Software
  • Basic accounting knowledge
  • Aptitude for learning new software programs and web applications
  • Strong basic math skills
