Job Duties

Major Duties and Responsibilities
Uinder direction, provides secretarial and non-routine administrative support (i.e., independently formulates decisions and/or judgments involving non-legal interpretation of policies and procedures as they would apply to given situation to resolve problems, to prepare correspondence and/or reports or to carry out other assignments): communicates decisions, directives and/or assignments to Bureau staff; prepares, reviews and/or summarizes personnel and/or operational reports in a timely and complete manner; reviews agency policies and procedures and develops internal Bureau guidelines (e.g., performance standards; reporting requirements); develops and conducts orientation for new staff; develops tracking systems (e.g., status reports of Bureau assignments) and monitors confidential materials (e.g., performance reviews information; complaints); compiles and redacts appropriate public record and media requests; develops operational reports (e.g., production reports; timesheet summaries); serves as State of Ohio Payment Cardholder for the Bureau(s) (e.g., reviews and summarizes fiscal reports; processes purchase orders); schedules webinars; confers with the Bureau Chief to discuss child care services and responds appropriately to sensitive inquiries from general public and officials; prepares correspondence and/or reports (e.g., Step Up To Quality and Licensing); follows-up to ensure assignments are completed; proofreads and edits documents; represents supervisor at meetings or conferences with other agencies.

Performs secretarial tasks: maintains Bureau Chief's calendar appointments; schedules speaking engagements; arranges meetings; prepares confidential correspondence and/or reports; maintains confidential files; makes travel arrangements for supervisor; takes minutes of meetings; coordinates business functions of Bureau (e.g., plans and coordinates telephone, equipment, maintenance and supply inventory and delivery); handles sensitive telephone calls; channels calls to appropriate parties for response; coordinates acquisition and maintenance of office machines such as telephones, copiers, computers.

Performs clerical tasks: operates computer system to produce correspondence and/or reports (e.g., word processing, spreadsheets, databases); receives, opens, logs, distributes incoming mail; answers phone and screens calls; greets and directs visitors; prepares routine forms; prepares records retention and disposal schedules and arranges record transfers; develops special reports.

Performs other related duties as assigned (e.g., participates in meetings; travels to meetings and training sessions; participates in agency charitable and wellness activities; maintains logs, records and files).

Qualifications

The ideal candidate, at minimum, must have the following:

  • Have completed associate core coursework in secretarial science or business office applications from accredited career school or community college
  • At least 12 mos. exp. in secretarial/administrative professional field
OR
  • At least 30 mos. exp. in secretarial/administrative professional field
OR
  • At least 12 mos. exp. as Administrative Professional 2,16872
OR
  • The equivalent of Minimum Class Qualifications For Employment noted above

Supplemental Information
Unless required by legislation or union contract, starting salary will be the minimum salary of the pay range (step 1, currently $21.23 per hour) associated with this position.
