JOB TITLE: Sleep Disorder Center Outpatient Registration Specialist
DEPARTMENT: Outpatient Services

JOB SUMMARY/SCOPE OF RESPONSIBILITY:
Responsible for performing, registration, receptionist, clerical, and transcriptionist duties related to the
Sleep Disorders Center. Must have the ability to type 35 words per minute. Under the general
supervision of the SDC Manager, responsible for registration, clerical, receptionist and transcriptionist
duties on a designated shift as scheduled. Employee is subject to call back and overtime as required by
ESSENTIAL JOB FUNCTIONS:
1. Interviews and performs registration and/or pre-registration process for all outpatients by obtaining
confidential demographic and financial data, enters information into the computer, secures
signatures of legally responsible individuals, and provides instructions and assistance to patients
and their families.
2. Prepares and scans all necessary registration documents. Performs quality checks on
3. Initiates calls to insurance companies, employees, physician's office and federal and state
agencies for outpatient benefits. Verifies and enters appropriate financial information, to ensure
accuracy of billing process. Secures pre-certification and appropriate referral numbers as
4. Maintains and controls the outpatient registration process and traffic control at reception desk
accurately, professionally and courteously.
5. Answers telephone and appropriate pages and relays information to appropriate team
6. Transcribes and/or takes by phone physician orders, completes related forms, schedules
procedures via computer and/or manual process, adds forms related to procedure to chart
and notifies licensed personnel.
7. Acts as a receptionist for the unit, provides information and assistance for all hospital
personnel, physicians, patients, vendors and the general public.
8. Calls insurance companies to obtain pre-certs and/or predeterminations on sleep studies.
9. Records, compiles, processes and completes monthly statistical information on a routine basis.
10. Contributes to a positive work climate and the overall team effort.
11. Assembles patient's charts; maintains charts, stamps and adds forms, posts lab, x-rays and other
related reports; dismantles charts, forwards paperwork to appropriate areas for processing as well
to physicians and home health companies.

Ability to read, write, spell, utilize correct grammar, perform basic mathematical calculations as
normally acquired through high school graduation or the equivalent. 2-4 years college courses
or work equivalent preferred. Clerical training preferred.
LICENSURE, REGISTRATION, CERTIFICATION:
CPR certification recommended.
Clerical experience and knowledge of medical terminology preferred, but not required-
Knowledge of hospital and department policies, routine for tests and procedures, medical
terminology, unit forms and record keeping, and ability to transcribe physician’s orders as
required through on the job training.

KNOWLEDGE, SKILLS AND ABILITIES:
Ability to type 35 words per minute
Ability to use paging systems, copy machines, tube system, computer and printer, telephone,
calculator and fax machine.
Communication skills to act as a receptionist, answer unit telephone, provide information and
assistance to visitors, patients and families based on age specific needs in an appropriate
manner. Ability to exchange information, schedule services and obtain results with other
departments on a frequent basis; communication skills with physicians and their office staff to
exchange information pertinent to continuity of patient care. Uses proper channels of
